Waiting Time 

For non  airport pickups, a grace period of fifteen minutes is given. Once the grace period has elapsed, waiting time is charged at the respective vehicle rate in fifteen minute increments. Uncontrollable delays on commercial flights will not accrue charges.

Cancellation Policy

For all vehicles, 24 hours notice is required to avoid cancellation fees. Any reservation that is canceled within 24 to 2 hours prior to service time will have a fee of $200 plus New York sales tax of 8.625%. This policy excludes special events (e.g. weddings, festivals, etc). If a reservation is canceled at the time of service or 2 hours before, the entire service will be charged as quoted. Special events will require a deposit fee of 50%. This deposit fee is non refundable in the event of a cancellation.

Change Request

There are many confounding variables for any given job. Henceforth, change requests resulting in the reduction of booked hours on any vehicle(s) will be billed at the full rate for all reserved hours, unless given 24 hrs notice.

No Show Fee

If a client does not show at a designated pickup location, a minimum No Show Fee of 3 hours vehicle rate plus gratuity and out of pocket costs (e.g. tolls) will be charged to the client. If a client cannot reach the driver to cancel, a voicemail to HVIP’s main number must be left – or email received – in order to avoid being charged.

Damages

Client assumes full financial liability for any damage to the vehicle incurred by them during the rental period – whether by client or any member of their group. Vomit may require replacement of carpet and upholstery.

Illegal Activity

Drug use is prohibited by law. Any fines will be paid for by the client. Our drivers have the right to terminate a run without refund (if there is blatant indiscretion on the part of the client(s). It is illegal to stand through the sunroof.

Smoking

Smoking is not permitted in any of our vehicles.

Mechanical

HVIP is not liable in the event of mechanical breakdown while on charter and will only be responsible for making up lost time at a mutually agreed date.

Weather

HVIP is not responsible for delays or even termination of service caused by unsafe, hazardous road conditions.

Personal Items

HVIP is not responsible for any article left in any vehicle.

Maximum Seating

Vehicles cannot be loaded beyond seating capacity. Zero exceptions.

Payment

Balances are to be paid in full within 24 hours after a trip.
